Job Opening: Administrative Associate with the Women, Peace and Security Program

We are seeking to hire a qualified candidate for a short-term Administrative Associate position with the Women, Peace and Security (WPS) Program. The Administrative Associate will support the WPS Program Director by ensuring smooth and seamless operations and administration of program activities from May to September, 2019.

Responsibilities

The Associate will be primarily responsible for several areas of activities including the following:

Internal and external outreach

Communicate and coordinate with internal and external stakeholders. Serve as point of contact for short term consultancies. Interface with range of stakeholders and recruit and advertise WPS fellowship and intern opportunities.

Manage scheduling

Manage and oversee systems and communication regarding scheduling for the WPS team. Organize operations details on internal calendar and maintain notes and data regarding timelines and upcoming deadlines.

Data management

Organize and oversee WPS data management including mailing lists, systems folders, documents. Take and maintain filing system for meeting notes.

Communications

Format and edit documents as needed. Assist with Senior AC4 communications office to interface on work flow for WPS team.
Event support and administration

Ability to create a detailed budget sheet in order to track all invoices and expenses related to the WPS programming.

Interest and familiarity with event and administrative coordination.

 

Skills and Qualifications

The preferred candidate will have a minimum of a Bachelor degree or 3 years commensurate work experience in an office environment.

The candidate should possess meticulous attention to detail and a working knowledge of MS Word, MS Office, MS Powerpoint, and Google Suite Applications including Calendars.

The candidate should also possess excellent written and verbal communication skills and be comfortable in a fast-paced environment.

 

Remuneration

This is a short-term, non-benefit position for the period May 2019 – September 2019. Salary will be commensurate with experience and is anticipated at the Columbia University Grade 10 level for officers of administration. Possibilities for position to transition to full time, depending on project needs and funding.
